Advancement & Enrollment Administrative Assistant

The Offices of Advancement and the Enrollment Management seeks a full-time Administrative Assistant to provide exceptional office management and administrative support to the vice presidents of Institutional Advancement and Enrollment Management, with 50% of time spent in each department.

Responsibilities to the Vice President of Institutional Advancement include: providing leadership and special events coordination for constituent groups; working with team members and the graphic designer to develop marketing communications; coordinating catering and other event logistics; delivering events, sponsored by the Advancement Office, which foster success for all dimensions of the advancement effort; coordinating events in collaboration with the President’s Office, plan and manage event progress; providing support to VPIA by conducting outreach to external constituents and setting up appointments; assisting with tracking external meetings in raiser’s edge database and conduct follow up; coordinating and scheduling meetings, taking notes, and administrative logistics; greeting visitors; completing expense reports.

Responsibilities to the Vice President of Enrollment Management include: assisting VPEM in Enrollment Management with administrative tasks, including but not limited to answering phones, calendaring, meeting coordination, reception, travel, expense reports, coordination of consultant meetings; coordinating Enrollment Management’s department leadership team meetings: e.g. scheduling, agenda, note-taking; coordinating administrative logistics including document preparation, minute-taking, and set-up for the Enrollment Management Committee of the Board of Trustees; supporting the Enrollment leadership team with administrative support tactics, meeting coordination, travel arrangements, expense reports; Coordinating events including quarterly Marketing Summits, strategic initiative updates, enrollment campus-wide meetings, and division-wide team meetings. 

Qualifications:  The successful candidate will have an associate’s degree (strongly preferred) and 3-5 years of professional administrative experience. In addition, this position requires excellent interpersonal skills, the ability to work well with people at all levels in an organization, and must be self-motivated, demonstrating initiative. Must have strong verbal and writing skills, be adaptable and capable of multitasking. As a brand ambassador, must present with confidence, diplomacy and competence. Must be proficient with Google Suite and MS Office.
