Administrative Assistant Department of Music & Performing Arts
Position Description/Responsibilities: The Department of Music and Performing Arts is accepting applications for an Administrative Assistant to work full-time during the school year and part-time (16 hours/week) during June and July. Reporting to the Department Chair, this position will provide excellent administrative support to the chair, faculty, students, and the various programs within the department. Specific responsibilities include maintaining excellent financial records, including faculty contracts and growth, paying invoices, allocating credit card expenses, requesting checks and reimbursements, etc.; significant event and schedule coordination, including room reservations, music department calendars, field trip forms and vehicle requests, etc.; supervision of student workers, including creating and managing schedules and overseeing hours of pay; concert and recital coordination, including formatting programs, designing posters, coordinating setup and teardown, etc.; maintaining the department website and social media updates; and assisting with special events, including Christmas Gala, Homecoming, Commencement, theatre productions, NYSSMA conference, theatre and Schoenhals symposia, etc.
Qualifications: Associates degree or higher strongly preferred with 2-4 years office administration experience. Must have excellent organizational, administrative task management, multitasking, creative design/marketing, and customer service skills. In addition, must have strong capabilities in the MS Office Suite. Strong proofreading/writing skills and attention to detail required. Applicants with a music background strongly preferred.
