Administrative Assistant - OTD Department of Occupational Therapy

Position Description/Responsibilities:

The Department of Occupational Therapy is accepting applications for a Part-time (20-40 hours/week, non-exempt) Administrative Assistant to support the Department of Occupational Therapy, including the new Occupational Therapy Doctorate (OTD) program by providing administrative support to department leadership. This support will include assisting with composition and preparation of reports and correspondence; scheduling meetings; composing and distributing meeting minutes; assisting with all departmental inquiries and visitors; maintaining paper and electronic filing systems; coordinating lab schedules, course evaluations, syllabi preparation, and student performance outcome measures; working on special projects; and assisting with department communications with prospective students. This position is also responsible for providing fiscal management support services for the department including processing check requests; completing expense reports; tracking department faculty growth and development funds; ordering office supplies; and maintaining copier and shredder equipment. In addition, the incumbent will develop and maintain a database for OT Field Education and Capstone projects and will monitor summer distance learning courses. Other duties include annual updates of handbooks and manuals; coordinating the graduation ceremony and reception; tracking student registration and enrollment; and maintaining student and alumni directory databases.

Qualifications:

Associates degree in Business, Office Technology or related field is strongly preferred. At least two years of prior office experience, ideally in an academic environment. Skills required: Demonstrated outstanding customer service and positive interpersonal skills. Ability to manage multiple administrative tasks effectively, coordinate events, and multitask. Strong communication skills including verbal and written capabilities. Excellent computer skills including ability in Microsoft Office and Google products. Must be able to learn and apply new software and technology.
